Document data cleanup

Before documents are migrated, searched or used with AI, someone has to deal with the duplicates, the five versions of the same contract and the folders nobody owns.

Describe my document problem Upload requirements

The outcome

A smaller, trustworthy collection: one current version, consistent names and dates, and clear ownership.

Common situations

  • Shared drives with years of duplicates
  • Inconsistent file names and folder structures
  • Outdated versions mixed with current ones
  • Content that must be cleaned before a migration

The approach

  1. Profile. Measure duplicates, versions, formats and age.
  2. Rules. Agree what to keep, merge, archive or delete.
  3. Normalize. Consistent names, dates and formats.
  4. Classify. Label what each document is.
  5. Hand over. Clean content ready for migration, search or AI.

Is this the right starting point?

It probably is if:

  • You suspect much of your content is duplicated or obsolete
  • A migration or AI project is coming
  • Nobody is sure which version is current

Not sure? Describe what is happening — the assessment works out which problem you actually have.

What the free assessment gives you

  • What we understood — the facts you stated, labelled as confirmed, separate from anything inferred.
  • The document problem — which of the common document problems you actually have, so you don't buy for the wrong one.
  • Recommended approach and likely phases — only the capabilities your situation needs.
  • What pricing needs — the next input required, or a status showing the provider will prepare pricing.
  • Missing information — what would sharpen the result, asked one question at a time.

Nothing is stored until you create an account and choose to save. Uploaded files stay private.

Questions buyers ask

Will cleanup delete our documents?

Only what your rules allow. Anything uncertain is archived or reviewed rather than deleted.

Should cleanup happen before or after migration?

Before, almost always — moving clutter makes it more expensive and harder to fix later.

Do retention rules apply?

Yes. Cleanup has to respect retention schedules and legal holds.
